Last fall, IT management software developer Quest Software acquired VKernel, manufacturer of infrastructure management products virtualized VMware and Microsoft.

I'm pretty bad in trivia. But every once in a while I come across. During the summer, our company has had a night game at the office and we played Edition Trivia Pursuit 90. I am a question about a technology that combines optical and magnetic technologies to store data. I stunned the crowd with the answer :. Floptical

If you do not remember the Floptical technology, it was like a floppy disk, but stored an incredible 21 MB of data on a single disc. Hell, Batman! SLAP in a SCSI card and not worth an hour's configuration, you have a backup of fat fast!

But Floptical technology was replaced in the mid-90s with Zip disks. Zip disks could hold 100 MB of data. This means you will need ten discs to hold a Gigabyte. In fact, they used to sell a pack of ten called Giga Pack. The announcement on the right is an eBay auction that ended Saturday, August 25, 2012. But fear not! There are other sales Zip disks current auctions now, so you can still get yours.

As you can imagine, it was not uncommon for people to use these technologies to store their data. In fact, I knew someone whose work included two hours a day swapping Floptical drives to back up a software development machine. Once again:. Not uncommon

Old technology is not uncommon. After all, we are in an industry that is changing at a dizzying pace. Many people go to all that is new. New monitors, new processors, new memory, a new storage. But when it comes to backup, you must be very careful.

capacity speaks for itself. If you have a medium that stores data 10Mb, you better be backing up a computer 386 with a hard drive of 20 MB! In the world of 'big data', we do not expect a backup to fit on a disk or tape. But in small businesses, the ideal is a full backup takes on a support. When a backup starts to go to a second tape or disk, you see the backups failed and incomplete rise dramatically. Indeed, the user does not switch the media. But in the real world, the number of clients (and consultants) have used the cheapest available media and the cheapest material to write with? Maybe 90%? Maybe more? It is another example of the simplicity paradox: I can create a CD. I can read the other machine. Therefore, I have a good copy / backup. Well, it's good and it's pretty good. If this cheap CD written with this drive cheap CD lasts five years, is that good enough ?

Life Form Factor refers to the period of time you can expect to find specific media and hardware / software related available for use in restoring data. Floptical the technology had a very short life. Zip disks have a longer lifespan, but are still hard to find today. tape reel to reel may be perfectly capable of recovery, but you still need a tape drive! And most importantly, you must be very careful not to damage the backup at any time

And when something goes wrong, you may have no recourse. I believe the horror stories on this will continue to grow. The laws governing this technology are made by legislators who can not set up an external USB hard drive and disputes are settled by the judges who have their printed e-mails by the secretaries and placed in their inbox every morning. Talk about the Wild West! The point here is that Cloud backups can be the ultimate safeguard in terms of flexibility, reliability, speed, etc. -. But we must address the issues of custody and access data more seriously than ever

media Collection and form factors

in a changing world, how décidez- that investing in technology? To answer this question, you must define the type of backup and archiving you need. For many businesses, the longest you'll ever have to worry of a financial audit is seven years. In some areas, you are required to keep records for ten, twenty, or more years. Some documents must be kept for the patient's lifetime. Some documents must be retained forever.

You need a process and technology to meet your needs.

If all data exists as data "live" in one format, then you can always change your backup systems, never leave the current system obsolete. At some point, you can add a full archive of data about data "live", ensuring that the archive will always be included in the current backup. This requires a lot of space and time, so you will need to balance the demands of cost and time.

More and more industries require lengthy or permanent backups of specific data.
Make sure you are an informed advisor to your customers. Make sure they understand that all this takes money. And then to design, build and maintain systems that are as reliable as necessary for as long as necessary. Again, you weigh all the factors discussed.

Cloud and Disc Backups

The band eventually fades into small companies because of cost and speed. And, to be honest, many technicians have never made the effort to master the technology and SCSI tape backups (they used to be linked to another). I exclude from this discussion, the well-designed disk to disk, tape to disk to disk, and disk backup -Disc to cloud systems. Good such systems tend to use SAN technology, redundant networks, and high-speed data lines. This puts necessarily outside the budgetary constraints of most small businesses.

Cloud backups - or disk-to-disk-to-cloud backup - seem to be the answer to many of the most difficult challenges of reliable backups with multiple restore points. Cloud backups are virtually unlimited capacity. Some systems have virtually unlimited versioning. Instant Point-in-time was a weakness, but that has more to do with personal habits that technology. Some good prosecution will bring that back online behavior. Just give it time.

The speed is always a major concern for many backup systems on the cloud. But if you back up to disk on-site and backup from disk to the cloud, speed becomes less relevant because the disk to disk piece is fast and can be completed overnight, and then the cloud component may sink as needed. You still have bandwidth considerations, so the cost can still play a big role.

Is the ultimate backup cloud backup, perfect? No, it scores very well on many variables, but the variables are always a mixture.

certainly Cloud backup capacity. Media life is somewhat irrelevant since the cloud storage company takes the responsibility of making your data available. They have to worry about the media, form factor, and media life issues on their end. Your job is to choose the right provider so you can feel comfortable that these things are taken care of!

The speed and cost are still significant variables. Microsoft seems to be betting the farm that Internet connectivity is super-fast and super-cheap, to make their work plans. But we are certainly not there yet. If you want simple file recovery, then there are many options. If you want versioning dating back 12 months, you have fewer options and higher expenses. If you want real pictures or images - no "snapshots" reconstructed from versions - and costs go up and the options are slim

In all this, the usability can be very misleading. . It is the ultimate paradox of simplicity: Anyone can create a backup to the cloud that makes them feel comfortable and safe, but provides no real security for data. It seems so simple. And if you have very little technical knowlege, all systems look good and reliable. As a result, people put all the future security of their businesses on the technology that is often inappropriate to their needs.

More than ever, companies need good advisors to help them make the right decisions regarding backups. Customers rarely understand the importance of backups. If they did, the number of new customers with working backups would be much higher. As with most modern technology, backups have what I call the simplicity paradox: It is quite easy as anyone can create a bad backup system that seems to be pretty good. When a customer (or an incompetent technician) creates a "good enough" half-baked system, it will be a slow network which has more equipment failures that of a professional network. Maybe good enough.

But a backup "good enough" is not good enough. If you can not recover the data, or can not recover any data, the client is likely to go out of business! This is a major report to be distributed to customers as it does not grow solutions but raises only awareness of the potential consequences of data loss.

defining your client backup

There was a time when a backup is very simple to define: save everything every day. It could have been a challenge when using 8 GB tapes and wondering if you were going to have to go to a higher capacity tape drive.

Now we have gargantuan databases and monster hard drives that just seem to show. It is not uncommon that customers have several players Terrabyte. And we all know that data expands to fill the available space. Whether the log files, streaming media files, on-the-fly backups, holiday pictures, or serious business data. It is becoming more and more diverse year.

Inventory data
As you can see, you must define the data your customer. In a perfect world, nothing important is stored on the desktop. But you should know for sure. Why not just backup every night for each client? Well, some customers do not need. But more likely than that, you can work with both limited resources: time and capacity. Depending on the hardware and the network concerned, you may not be able to move all the data on the backup device in a reasonable amount of time. Or the means (either disk or tape) may not be large enough to hold all the data.

In both cases, you must decide what to backup and when. The state of the system probably does not change much. Corporate databases online, exchange, and database files change daily. You calculate what goes where, how long each task will take, and how to stand on a given medium.

Why the document This Way?

There are many reasons to document what you do. They apply to just about everything here. You must be able to assure the customer that everything is backed up, and he's on a timetable consistent with their catering requirements disaster. You must be able to send various technicians of the site and know they will be able to understand when they need to restore a file. And if you get hit by a bus, this stuff must be written so that it can be done while you recover the

the main thing you need to do is to educate your team on the approach to your business for backups (and restores ), then make sure that everyone who might be involved in a restoration has a chance to get their hands on a backup. they need to be comfortable with it so they can succeed after a catastrophe.

You can have only one or two people on your team who would never be involved in a restoration of emergency. But every technician should be involved with monthly tests and setting up backup jobs. This ensures a high level of knowledge within your team. This is literally insurance for you. If one of your technicians never need to make a decision on a medium to use, you want to do everything you can to make sure they make good decisions.

Kaseya customers with Datto devices will now be able to centrally monitor and manage all of their devices and alerts in the Kaseya portal. Users can monitor the local and offsite storage, allowing centralized monitoring of their entire fleet of Datto.

The integration also offers state management, category and priority of each device-level alert and agent. Users can monitor backups of all their protected systems for each Datto device.

The Ten Truths About IT based backups

This is part 2 in four series part on Safeguards. See Part 1 :. Setting your client backups

This week the topic is philosophies backup and customer communication. As you can imagine, I encourage you to have a standard philosophy with all your clients. Curiously, if a client has a strong replacement philosophy - which is good! Most customers know so vague that they should have a backup. But they can not really explain why, or what looks like a good backup.

What is a philosophy about backups? Quite simply, there is a standard set of beliefs or approaches you take. Here are the ten fundamental truths of our backup philosophy (Note :. You might not like all):

Truth # 1: The backup is not a recovery disaster plan.
a good backup is a component in a DRP (Disaster Recovery Plan), but it is not a DRP. It is necessary but not sufficient for a DRP. Therefore, it is more important than DRP

Truth # 2: .. We build all backup systems with disaster recovery in mind
This objective we keeps focused on creating robust backup systems.

Truth # 3: The good backup technologies abound on a regular basis; lazy technicians and training without fail.
Whenever we look at a technology developed by companies "big boy" and widely used throughout the world, we know that the technology is sound. Tape backups, for example, are absolutely the most reliable backup. They fail because the hardware is set up wrong, the software is misconfigured, the technicians do not know how to use the systems they sell, or humans fail to change tapes.

tape backups are not perfect. They are expensive compared to the current technology of the hard disk, and they are slow. But if I drop an old band of ten years on the top of the Empire State Building in a mud puddle, I'll be able to recover 100% of the data. . This is not true with a hard drive

Make no mistake: We are moving away from tape. But it is not because the band does not. It is due to the speed and price. We know that we are moving towards less reliable technologies (since the band is the most reliable). Therefore, we must be even more careful about backup systems that we create

Truth # 4 :. You (the technician) absolutely must master backup technologies you sell and use.
This means in hardware, software level, the level of the media, and the process level. This is one of your success muscles. You need to exercise and build muscle memory so that you make good decisions in a crisis and have a good sense of resources available for you

Truth # 5 :. Backup media should be turned off at the storage permanent site for several reasons.
permanent offsite storage means that they never return. They sit on a shelf or in a vault essentially forever. Why?

c) go offsite backups in case the desktop systems need to be recovered in a disaster. This could include fire, water damage, or other event that makes it impossible to get to the office

d) The purpose of backups -. Including monthly offsite backups - is to provide the ability to restore client systems and data. Our normal preparation for today, yesterday, last week. But it is also important sometimes to go back in time a month or two, or even a year or two.

There are no limits to the good reasons for storing media out long term site. Theft, fire, flood, and all sorts of things can happen to your desk. Truth # 6:. You should have as many "time points" as possible
This is essential. A database backup will get the file you deleted yesterday. A good backup, you will get a file from last week or last month. A large backup, you will get a file from several months or years back. A perfect backup will get your version each of each file ever created. (This perfect backup has not yet been invented, but it is good to think about.)

More than most technologies we handle, backup systems have a very clear relation cost-quality. You want something that works much? It's cheap. The perfect example is the USB drive him home from Office Depot for $ 49. You plug in and use whateverthehell software is included. Think a little sorta you can recover a file if necessary. At the other end of the scale are systems that cost millions of dollars and are key components of zero downtime, instant fail on systems. Create a simple checklist for your backup systems. What points in time do you need to recover? Select (Yes) or (No) for each:

now consider what your media rotation looks . What does it look like to create restore points that you say you want? Now think of # 4 above: You absolutely must master backup technologies you use. Let's say you save to disk. After three months of backups, what exactly is on each of your backup discs? Are images full? file copies? File versions? How many restore points you

. Ideally we would like to see at least 6-12 long-term storage media off-site, in addition to media for the current week. If you have a safe place to store old media on site, you can bring them to the office.

Let's say you save each business day. That's five times a week. Ideally, these are all full backups (we did not use incremental backups since we are far from coil to coil backups in 1995). So we have five "current" off-site backups, backups more month-end permanently off-site for the last 12 months. That makes a total of 17 media offsite. If you have backups of year end, then you will have additional media offsite

Remember :. The driver of this discussion is the number of recovery points you need. Yes, it costs money. It is cheaper than going out of business

Truth # 8: .. The first media fail
This philosophy is true far more often than we would like to believe. Basically, it comes down to this: Assume that whatever media you use to restore from is bad. The first hard drive, the first band, the first cloud backup. Suppose something will go wrong.

Customers do not change tapes / discs. Power out. Damaged discs. The databases are damaged then saved. You must restore from back before the corruption happened.

Once you assume that you need backup plans for your backups, then you start to plan to a higher level. Place the Department of Redundancy Department within your office. Plan to fail; then plan around it. This is your work

Truth # 9 :. If you do not test your backup, you do not have a backup. If you can not restore from backup, you do not have a backup.
This is all because they really are the same. In addition to designing an awesome backup system, you need to design a restoration process and test the backup.

You must perform a full restoration to feel good in your backup. But you need to restore from each drive that was backed up (for example, C: D: x :), of each medium used (for example, disk 1, disk 2) from the elutable core BONE area (system status on the Windows machines) and from key databases (for example, a few emails in the Exchange database).

This is not trivial. As backup, you must design a restoration test that verifies that you can get the data back where it belongs. This keeps your technicians listening on the process and ensures that you do not have hardware or software failures.

Truth # 10: .. We can not care more about saving the customer they do

We need to try to communicate to our customers, employees, and our own employees about the importance of backups. We need to check every day. And we need to push the customer to take them seriously. But if they simply refuse to participate in the protection of their network, there is not much we can do.

On rare ocassions, we sent a memo to clients saying that we can not be responsible for the success of their backups because they do not do things that we have described. We propose to do these things for them (including backup devices change each day) for one price. Sometimes it works, sometimes not. But when customers do not care, we must try not to worry about it.

Communications Client

When discusss all this with clients, you must decline the geekspeak a bit. At the same time, you need to understand your company's philosophy and make sure the customer understands.

We get push-back on taking traffic lanes of some people. We get a lot of resistance to switching media (tapes or disks). Interestingly, we rarely have the strength depending on the overall price.

It is extremely helpful to have stories that you can use to illustrate your points. Collect backup stories. Believe me, I have one or more for each point above. Stories help connect your philosophy with the world matters to them.

Remember, most customers see backups as a necessary evil. It costs money, but few tangible rewards 99% of the time. Of course, the day you pick a database there six months, it is worth. When the desktop is burning, a return is worth it. When an employee sabotages a system backup is worth it.

I highly recommend that you write a memo page on your philosophy backup and distribute it to customers and prospects. It might be all "noise" to most, but it is a real selling point - especially if you insist on jurisdiction. Customers really want a good reason to justify the money they spend with you. Put yourself against a trunk slammer $ 60 / h when it comes to backups.

Second, you have to go on with your technicians and make sure that everyone understands. This could lead to discussions or debates. Very Good: This means they think on Safeguards

Third, you need to implement what the parts you do not currently have in place. This could include the sale of additional media customers to ensure they are in compliance with your philosophy.

Saving data to the cloud for SMB customers is simple. Any organization can do it himself. Things get complicated when you start adding in the whole network, including virtualized servers.

Backups. . . People OMG. . . Test! -

Maybe because I did a series on Safeguards (see this post, this post, this post, and this post), but I've heard horror stories this week

-. The backup that has never been tested after a crashed hard drive
- The backup that could not be recovered from off-site
- the partnership dissolved after a person has not tested backups and the company has paid the price

This morning, one of my coaching clients told me about a prospect that has consistent disk errors on their server. He does not know if the backup images are good because the IT support company that "manages" the system shows that when something breaks.

Wait. Stop.
